This policy explains what personal data we collect when you visit doclub.tech or request a demo, why we use it and what choices you have.
1. Who we are
This website, doclub.tech (the “Site”), is operated by DOCLUB FZ-LLC, a company registered in the United Arab Emirates (“DOCLUB”, “we”, “us”). We are the controller of the personal data described in this policy.

2. What this policy covers
This policy explains how we handle personal data of people who visit the Site or contact us through it. It does not cover the portals, apps and events that our clients run on the DOCLUB.TECH platform: there the client decides how personal data is used, and the client’s own privacy notice applies.
3. Data we collect
Data you give us
When you send a demo request we collect:
- your name, work email address and company;
- your role, the product you are interested in and your message, if you provide them;
- your confirmation that we may process these details.
If you write to us by email, we receive your email address and whatever you include in the message.
Data collected automatically
- With a demo request: the date and time, the page and button the request was sent from, and your browser’s user-agent string.
- When you browse the Site: your IP address and basic request data are processed by our servers to deliver the pages and to protect the request form from abuse. Our hosting infrastructure may keep standard server logs for a limited period.
The Site does not use analytics, advertising or tracking cookies. See Cookie settings for details.
4. Why we use your data
- To answer your request and arrange a demonstration — these are steps taken at your request before entering into a contract, and you consent to this when you submit the form.
- To keep in touch about the enquiry you made and maintain a record of our business correspondence — our legitimate interest in running and developing our business.
- To keep the Site secure, prevent spam and abuse — our legitimate interest in protecting our systems.
- To comply with the law where a legal obligation applies to us.
We do not use your data for automated decision-making or profiling, and we do not send marketing newsletters to people who only submitted a demo request unless they ask us to.
5. Who we share data with
We do not sell personal data. We share it only with:
- Service providers who help us run the Site and handle requests — hosting, email, and the messaging or customer-management tools our team uses to route requests. They act on our instructions.
- Companies of the DOCLUB group and our professional advisers, where needed to respond to your enquiry.
- Authorities, where we are legally required to disclose information.
Third-party services on the Site
- Google Fonts. Typefaces are loaded from Google’s servers, so your browser sends Google your IP address and user-agent when a page loads.
- YouTube. Our films are embedded in YouTube’s privacy-enhanced mode and load only when you press play. From that moment Google may process your data under its own privacy policy. You can turn embedded video off in Cookie settings.
6. International transfers
We are based in the United Arab Emirates, and our service providers may process data in other countries. Where the law requires it, we rely on appropriate safeguards for such transfers, such as contractual commitments from the recipient.
7. How long we keep data
We keep demo requests and related correspondence for as long as we are in contact about your enquiry and for up to 24 months after our last contact, unless a longer period is required by law or you become our client. You can ask us to delete your data earlier.
8. Security
We use technical and organisational measures appropriate to the nature of the data, including encrypted connections to the Site and restricted access to requests. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your rights
Depending on the law that applies to you — including the UAE Personal Data Protection Law and, for visitors from the European Economic Area and the United Kingdom, the GDPR — you may have the right to:
- access the personal data we hold about you and receive a copy;
- have inaccurate data corrected;
- have your data deleted or its processing restricted;
- object to processing based on our legitimate interests;
- withdraw your consent at any time, without affecting earlier processing;
- lodge a complaint with the data protection authority in your country.

10. Children
The Site is intended for business and professional audiences. We do not knowingly collect personal data from children.
11. Changes to this policy
We may update this policy as the Site or the law changes. The current version is always published on this page with the date of the last update.
